Job Purpose

This is new role, responsible for the maintenance of the systems and building fabric at the centre, the management of Interserve facilities maintenance team and advising/deputising for other management during periods of absence. The continual monitoring of building systems efficiency and fabric condition to ensure full compliance and integrity are key elements of the role, along with advisory support and for special projects at the centre.  The position requires a close working relationship with the on-site teams, specialist suppliers, front line colleagues, retailers and tenants to ensure the service meets all expectations.

Responsibilities 

Specific duties will include, but are not limited to:

  • To effectively and efficiently maintain the building fabric and finishes, all plant and machinery, electrical and emergency systems within centre to a safe and compliant standard.
  • Manage all planned maintenance tasks within the agreed contract scope; manage reactive calls and break downs and report activity against monthly SLAs.
  • To ensure that all plant, machinery, electrical and emergency services are maintained to an effective and efficient standard and that all defects are brought to the attention of those responsible for repairs and/or warranties
  • To co-ordinate the maintenance and remedial works and to advise and effect recommendations to ensure the continued operational efficiency of all fixed and portable plant.
  • To carry out site inductions for all maintenance staff, sub-contractors and visiting contractors in accordance with health and safety requirements and any specific site rules and procedures.
  • Carry out regular tool box talks and training to the maintenance team and document.
  • Ensure the issue of daily permits to work for the maintenance team, sub-contractors and visiting contractors are completed.
  • Assist with the monthly billing tracker and non-contracted re-charging.
  • Provide absence cover for the management teams and cover Duty Manager rota.
  • On a day-to-day basis, work with the Helpdesk Administrator to ensure all CAFM logs, reports and updates are correctly captured.
  • Manage the maintenance team, sub-contractors and visiting contractors regarding all elements of controlled waste.
  • Assist with all energy saving objectives. 
  • To organise, monitor and supervise the maintenance tasks carried out by the on-site maintenance team and nominated specialist sub-contractors and to ensure that all site rules and procedures are adhered to with attention to matters relating to health and safety and legal compliance.
  • To liaise with, monitor and instruct nominated sub-contracted specialist suppliers contractors so as to meet the agreed planned preventative maintenance programme. 
  • To ensure all building internal and external fabric and finishes are maintained to a high standard and any defects are either rectified by the on-site team, advised to the relevant sub-contracted organisation, or advised to the managing agent if authority is required for additional expenditure. 
  • To monitor the performance of all plant, machinery and electrical services within the scope of the contract.
  • Ensure all maintenance staff are appropriately trained to minimise wear and tear and to create a better user understanding and safety.
  • Support the tenants in the event of an emergency and take part in emergency planning.
  • Provide all quotations, proposals and costs as requested.

Health & Safety

  • To ensure sites comply with all Company and managing agent policies and procedures, site rules and statutory regulations relating to Health & Safety, safe working practices, hygiene, cleanliness, fire and COSHH.
  • Take ownership of Health & Safety and encourage safe-working practices at all times.  Report any accidents or near misses using the servon accident reporting line, “Success is no Accident”.
  • Be aware of all fire and emergency evacuation procedures and to ensure that normal precautions are taken colleagues to protect against fire and safety hazards.
  • Ensure the emergency procedures are current at all times and that all colleagues are aware of them and a robust evacuation plan is in place and regularly tested. 
  • To be aware of and proactively manage compliance with all legislation and company policies in force at any given time.
  • Carry out an on-going tool box talk regime for all colleagues, appropriate to individual job roles as instructed.

Environmental

  • Support by ensuring all specialist sub-contractors and on-site maintenance staff are aware of and work to, the Centre Environmental Management system in accordance with the ISO 14001 framework.
  • Monitor waste levels and work to reduce the cost and environmental impact wherever possible.
  • Support in the management of energy consumption at the centre to ensure all systems and plant operate as efficiently as possible.

Communication

  • To hold formal meetings with key specialist sub-contractors to review performance against the agreed SLA and to attend both formal and informal meetings at the request of the management team.
  • To keep all informed of on-coming meetings of significance, extra ordinary requests, reportable incidents etc.
  • Cascade all company and management notices to maintenance staff through the most appropriate means.
  • Hold regular (daily, weekly and monthly) team meetings as required with the maintenance team to ensure all associated activities are fully co-ordinated to meet Interserve facilities’ contractual and service delivery objectives at the centre.

Other Responsibilities

  • Promote Interserve Facilities’ products, services and solutions.
  • Any other reasonable requests as directed by the centre management team.
